Bold Himalaya Booking Terms & Conditions

Bold Himalaya Treks and Travels Pvt. Ltd. offers trekking, tours, hiking, climbing, and other travel experiences across the Himalayas, including Nepal, Bhutan, Tibet, and Ladakh. These Terms & Conditions explain the terms that apply to your booking and travel arrangements.

Please read these terms carefully before confirming your booking. By making a booking, you acknowledge and accept these Terms & Conditions.

1. General Booking Conditions

1.1 Nepal Trips

A 20% deposit of the total trip cost is required to confirm a Nepal trip. All passengers must provide the required personal contact details and a passport copy. Bookings can be made through our website or by contacting us directly.

The remaining balance must be paid according to your arrival date and travel arrangements. The payment schedule may vary depending on whether flights are included in your booking.

For trips with flights, if cancelled 1 month or more before departure, the 20% deposit remains non-refundable. If the flight has already been booked, the flight cost and other applicable charges may also be non-refundable. Cancellations within 1 week of departure are non-refundable and non-transferable.

For trips without flights, if cancelled 1 month or more before departure, the booking may be transferred to another date or kept as future trip credit, subject to availability and applicable conditions. Cancellations within 1 week of departure are non-refundable and non-transferable.

1.2 Bhutan Trips

A 50% deposit of the total trip cost is required to confirm a Bhutan trip. All passengers must provide the required personal contact details and travel documents before the booking is confirmed.

If you cancel one month or more before departure, the booking may be transferred to a future date, subject to availability.

1.3 Tibet Trips

A 30% deposit of the total trip cost is required to confirm a Tibet trip.

If you cancel less than one month before departure, no refund will be provided. If you inform us at least one month before departure, the trip may be rescheduled to another available date, subject to availability.

For a rescheduling request, please email us with the original scheduled date and your preferred new travel date. The booking deposit remains non-refundable.

1.4 Ladakh Trips

A 20% deposit of the total trip cost is required to confirm a Ladakh trip. Travelers must provide the required personal and travel information before the booking is confirmed.

The remaining balance must be paid according to the agreed payment schedule and travel arrangements. Cancellations must be made at least 20 days before departure to be eligible for a refund. 

2. Payment Methods

Payments can be made through available methods, including:

  • Bank transfer
  • Wise
  • Western Union
  • MoneyGram
  • Cash, where applicable
  • Other available payment methods

3. Currency & Payment Charges

We accept major currencies, including USD, EUR, AUD, CAD, and others where applicable. Currency conversion will be based on the applicable exchange rate at the time of payment.

Any bank, transfer, or transaction charges are the responsibility of the traveler. A 4% processing charge applies to card payments where applicable.

4. Health, Fitness & Special Requirements

Trekking, hiking, climbing, and other outdoor activities can be physically demanding. Travelers should be physically and mentally prepared for their chosen experience and must inform us at the time of booking about any medical conditions, disabilities, mobility limitations, allergies, or other health concerns that may affect their safety or travel arrangements.

If relevant health information is not disclosed before departure, we may not be responsible for related problems, delays, or additional costs. Our team may also recommend changes to the itinerary when necessary for safety.

For children or babies with disabilities or special needs, parents or legal guardians must provide any required equipment, such as wheelchairs or medical devices, unless agreed otherwise in advance. Travelers under 18 years of age must travel under the supervision of a parent or legal guardian, unless otherwise agreed.

5. Group Trips & Accommodation

Participants joining a group trip must arrive by the specified departure date so they can join the scheduled itinerary.

Accommodation included in the package will be provided according to the confirmed itinerary. Any additional nights required before, during, or after the scheduled trip will be charged separately.

If you request an upgrade from the accommodation or service included in your package, you are responsible for the additional cost. For example, if a 4-star hotel is included and you request a 5-star hotel, the price difference will be charged separately.

6. Cancellation, Early Departure & Refunds

Cancellation by the Traveler

Cancellation and refund eligibility depends on the destination, booking conditions, timing of cancellation, services already arranged, and any non-refundable costs paid to third-party providers.

Where a refund is applicable, amounts already paid to airlines, hotels, permit authorities, transportation providers, or other suppliers may be deducted if they are non-refundable.

If a booking is eligible for transfer or rescheduling, this will be subject to availability and the applicable booking conditions.

Early Departure

If you choose to end your journey after it has started, unused services will not be refunded. This includes unused accommodation, meals, transportation, activities, and other services included in the remaining itinerary.

If you complete the journey earlier than scheduled and return before the planned end date, no refund will be provided for the unused portion. Any additional costs related to leaving early, including transportation or accommodation for your return, are your responsibility.

7. Unforeseen Circumstances & Itinerary Changes

Travel plans may be affected by extreme weather, landslides, earthquakes, political situations, strikes, government restrictions, flight disruptions, road conditions, or other unexpected events. When necessary for safety or operational reasons, we may adjust the destination or itinerary, and any resulting extra expenses will be the traveler’s responsibility.

Flight delays or cancellations caused by weather, airport conditions, operational issues, or conditions in remote areas are not our responsibility. Travelers should be prepared for one or two additional days if needed. Any accommodation, meals, transportation, or other expenses outside the confirmed package or scheduled trip period must be paid by the traveler.

We will make reasonable efforts to assist with alternative arrangements where possible. Any refund or trip credit will depend on the situation, services already used, and costs incurred. Remote and rural destinations may have limited facilities and transportation, so travelers must follow applicable regional rules and instructions throughout the journey.

8. Travel Insurance

Travel insurance is mandatory for restricted-area trekking, climbing, and expedition trips.

For regular trekking and other travel experiences, insurance is strongly recommended unless specifically stated as mandatory for the particular trip.

Your insurance should provide appropriate coverage for:

  • Medical treatment
  • Emergency evacuation
  • Helicopter rescue where required
  • Trip cancellation or interruption
  • Personal accidents
  • Loss or damage of baggage and personal belongings

You are responsible for checking that your insurance covers the destination, activities, and risks associated with your journey.

9. Booking Through Third Parties

If you make a booking through a travel agent, tour operator, or another third party, additional terms may apply.

You are responsible for reviewing the conditions provided by the third party. These Terms & Conditions will also apply to the services booked with us.

10. Traveler Responsibilities

Travelers are expected to follow local rules and regulations, safety instructions, and reasonable guidance from our team and local authorities. They must also respect local communities, customs, cultural practices, and the environment.

Any illegal, unsafe, abusive, or inappropriate behavior may result in the cancellation or termination of the journey without refund. If safety concerns, legal requirements, local conditions, or operational circumstances require a change to or termination of an activity or itinerary, travelers must follow the decision made by our team.
